  SYNOPSIS:

                                    Dictating with InSync








 

 

Allegiant lowers your costs
in three ways:

  • Cutting the actual number of lines transcribed by up to 30%
     

  • Eliminating the courier and staff fees of a paper-based system
     

  • Standardizing the definition of a “line” across 120 transcription companies

EMDAT has integrated its software to work with several popular versions of digital recorders automatically.    EMDAT recommends the "Voice-It" Digital Recorder (pictured below), the Olympus DS 3000 or Olympus DS 330 or any upgraded version of the Olympus DS.

Voice-It and Olympus digital recorders can record several hours of dictation. In addition to offering the functionality of traditional cassette recorders, it allows the user to insert speech in the middle of a dictation without deleting any of the existing recordings. Along with this advantage, the recorder can store client-defined work types, author IDs and other information that are easily identified by InSync when the dictations are uploaded and insured of proper routing.  Once your recorder is set with the proper information and document types, please follow the instructions below on Dictation Upload using InSync.

To Dictate:
Clinician chooses work type by pressing "Folder" button on the recorder.
Clinician presses the "Record" button once and begins speaking.
When complete, clinician presses the "Record" button again to end the dictation.

It's that simple.  To dictate another dictation, simply follow the above steps.

Dictation Upload using InSync:

When the dictation files are complete, the clinician docks the digital recorder to a computer — similar to docking a Palm Pilot.

Once docked, the dictations are automatically transferred to EMDAT through the Internet — encrypted with 128-bit encryption technology — with InSync. This small application resides on the clients workstation. Once files are transferred to EMDAT, they are immediately available for transcription, by the Medical Language Specialist, using InScribe.

Once a file is uploaded, InCommand automatically routes dictations to the appropriate Medical Language Specialist and tracks their progress. InCommand resides on the EMDAT servers and is used by Allegiant Transcription Services to oversee their clients' workload and files.  Using InCommand, Allegiant sets up parameters for each client — such as transcription pools, users, turnaround time, incoming dictations, quality assurance, checked out dictations, and many other aspects of the transcription process — that will be automatically executed with each dictation upload.  Setup, maintenance and day-to-day management of clients and their dictation and transcription files are automatically performed by the application, but can be monitored or overridden by Allegiant.

 

Transcribing Using InScribe:
 
Dictations are transcribed on-line using InScribe.   InScribe resides on the Medical Language Specialist's workstation

Transcriptions Processed by Client using InQuiry:                                    
After a dictation is transcribed and checked for Quality Assurance, clinic and hospital personnel can view, edit, electronically sign and print transcriptions. The InQuiry application is broken up into different sub-processes or modules that allow medical personnel to monitor the transcription through completion and placement in the medical record.

All transcriptions are accessed through the EMDAT servers using SSL (Secure Socket Layer) by Thawte. All transactions are completely secure and can only be accessed with an authorized username and password. This application as well as all others are included as part of your per line cost with Allegiant Transcription Services.

Documents that require electronic signatures are watermarked with "Preliminary" until the clinician electronically signs them on-line. The Original versions of the documents, once signed, are routed automatically to Medical Records for placement in the paper record. Any document printed without "Medical Records Authorization" is watermarked with "Copy".
